Registration Overview
NYSWYSA annually registers 65,000+ players, coaches, and volunteers. This task is made easier by the use of software tools to provide data to the state in a computer readable form. On this page, you will find information regarding policies that deal with registration. It became mandatory that all clubs submit their data in a computer readable format in 1995.
Our registration system underwent a change over from Logical Solutions to Demosphere’s web-based system, RosterPro during the 2003-2004 season. Beginning with the 2004-2005 seasonal year, the only acceptable method to register your club members was through RosterPro. Beginning with the 2023-2024 seasonal year, NYSW changed registration platforms to GotSport to align with US Youth Soccer and many other state associations. Club Administrators can enter the GotSport system from the menu on the top of this page. If your club does not have a sign in and password, please contact the state registrar, Pam Whitcomb.
GotSport provides registration, roster management, pass printing, and risk management functions. It also provides a method for the club to import/export its data via Excel. The information in the database is also used for various purposes by NYSW and required to be submitted to United States Youth Soccer and the United States Soccer Federation.
Indoor Soccer Teams And GotSport
To be covered by NYSW insurance while playing indoor soccer, all players and coaches should be registered with their club using GotSport.
To avoid issues with the US Youth Soccer National Championships and travel soccer rules, all indoor play in NYSW is considered recreational soccer. For indoor teams, please be sure to set-up your teams correctly using the recreational roster option. If you set them up as competitive, the GotSport program will invoke the two-roster limit for your players. In the past, this has caused a problem once spring rolls around and teams head outside as true classic travel programs. Also, if you set the indoor team as competitive, you will incur competitive roster fees on your invoice.
NYSWYSA Player And Coach Fees
2024/2025 Season Fees (Approved at 11/18/2023 AGM)
- Player Registration Fee: $12.25
- Competitive Roster Fee (Primary or Secondary): $10.00 (Previously Known As Player Pass Fee)
- Risk Management Pass Fee: $35.00
Fee Details
- Player Registration Fee – This fee is applicable to all players registered within your club. This is charged at the time of registration as expenses are incurred at that time. The fee covers US Soccer membership, USYS membership, insurance fees, programming, education/initiatives and administrative costs.
- Competitive Roster Fee – This fee is applicable to all players upon placement on a Competitive or Tournament Roster. It is applicable for Primary or Secondary Players. A competitive roster is needed for any teams playing in a competitive league or event that requires player passes. This was previously listed as player pass fee.
- Risk Management Pass – This fee covers the required background check and trainings for coaching and club official staff. All coaches and team staff must have a valid risk management pass to be covered under insurance. The passes are good for two years.
The registration of every player participating in soccer activities helps to ensure that both the players and Member Clubs have the proper insurance coverage in place should an incident arise in the future.
Please take note, that Member Clubs participating in any soccer related activity (indoor or outdoor) that have failed to register all participants are in direct violation of the NYSWYSA Bylaws and may be subject to suspension or expulsion. The rules regarding the registration of players is covered by the NYSWYSA Policies on Registration and Insurance, which can be found here.
U.S. Soccer Mandates
The US Youth Soccer Board voted to implement the “calendar year” registration to begin in the 2016-2017 season (1 August 2016). All state associations and their members were required to make the change. The remaining US Soccer mandate regarding small-sided games was enacted in 2017-2018. At the US Youth Soccer AGM in late July, a straw poll vote was taken for implementing the birth year registration in 2016-17, and the result was 91% in favor.
US Soccer mandated the initiatives to further the development of the players in the US.
